(The brief)
Small membership businesses run on paper registers, Excel sheets and several WhatsApp groups. Renewals slip because nobody can see who is due, payments get recorded against the wrong person, and the owner has no clear view of monthly collections.
(What we built)
We designed VeraTrack around one daily question: who do I need to call today? A renewals desk sorts every expiring plan by date. Payments are stored in an append-only ledger attached to the member. Attendance, reminders and reports all build on that same record, so the numbers add up at month end. The same API serves a React web app and a native Expo app, and each business type (a gym, a coaching centre, a PG) gets its own vocabulary and modules.
We made the renewals desk the first screen, because “who is due today?” is the question an owner asks every morning.
What’s inside
Renewals desk
Every member whose plan ends this week or has already lapsed, sorted by date with plan and phone number.
Payments ledger
Card, cash, bank and UPI payments are recorded in seconds, with receipts, discounts and pending balances kept on the member.
QR, face and geofenced check-in
Members scan in or staff mark them in. Regulars who stop coming are flagged before they leave.
WhatsApp reminders
Automatic reminders go out before every renewal, so owners stop chasing members by hand.
Industry modes
A coaching centre sees students and fee dues, a PG sees residents, beds and rent, and a gym sees members and PT sessions.
Import, storefront & lead forms
Bring existing members in from CSV or Excel, then take sign-ups through a white-label storefront and lead form builder.
